Rights Agree recognised service date and entitlement-specific continuity. Owner: Both employers Evidence: Service schedule distinguishing legal rights from enhanced terms
Resolve whether probation is lawful and proposed; explain it before signing. Owner: Both employers + employee Evidence: Written terms and applicability assessment
Reconcile leave balances, accrued bonuses, commissions and unpaid amounts. Owner: Both payroll teams Evidence: Closing balance and opening balance signed off by the owners
Confirm pension and medical coverage dates, contributions and waiting periods. Owner: Benefits owner Evidence: Old and new benefit confirmations
Review IP, confidentiality, equity administration and post-employment restrictions. Owner: Client legal + employers Evidence: Document review identifying any required replacement or assignment
Employee Provide the required terms and complete the lawful employee information, consultation or agreement process. Owner: Incoming employer Evidence: Executed documents and communications record
Give the employee one dated explanation of what changes and whom to contact. Owner: Client transition lead Evidence: Employee transition summary and named contacts
Payroll Confirm last earned-pay period, final payments, filings and correction responsibilities. Owner: Outgoing payroll owner Evidence: Closing payroll calendar and calculation
Confirm first pay period, payday, funding cutoff and statutory registrations. Owner: Incoming payroll owner Evidence: Opening payroll calendar and setup confirmation
Validate bank details through the agreed secure process and review a sample payslip. Owner: Incoming payroll owner + employee Evidence: Validation record; do not put bank data in this checklist
Cash Approve separate amounts for fees, employee entitlements, duplicate charges and refundable deposits. Owner: Client finance Evidence: Signed quote and cash schedule
Agree closing invoice, deposit deductions, refund trigger, amount and currency. Owner: Outgoing provider + client finance Evidence: Commercial terms and reconciled closing ledger
Cutover Confirm all required prerequisites are met before releasing the cutover date. Owner: Client transition lead Evidence: Owner sign-off; unresolved critical item blocks release
Aftercare Check first payment, year-to-date records, statutory remittances and benefit contributions. Owner: Both payroll teams Evidence: Reconciliation with discrepancies assigned and dated
Verify deposit recovery and close outstanding adjustments. Owner: Client finance Evidence: Bank receipt and final settlement evidence
